Q9. How do I see ExelaOnline calendar and other email system calendars at the same time?

When you have added other email accounts (SourceHOV, Banctec, and Transcentra) into one outlook profile and you access calendar, you will find all the calendar items of all your email accounts.

Q10. How do I get my older emails from another email system into my ExelaOnline email?

You can export your older email into a PST file and then import the file into your ExelaOnline mailbox.

  • Export old email to a PST file

                o  Import items into the current folder - this imports the data into the folder currently selected.

                o  Import items into the same folder in - this imports the data into the destination folder of the same
                    name as the source folder, e.g., from Inbox to Inbox. If a folder doesn't exist in Outlook,
                    it will be created.

Q11. Will I lose my old emails?

No, your older email will be available on the server. Also, if you want you can export it to a local PST file and store it on your machine.

Q12. How do I receive email coming into an existing email system into my ExelaOnline email?

Once you have started using your ExelaOnline email, please request to have your old email account forwarded to your new ExelaOnline email account. The messaging team will enable forwarding on the server for you.

Q13. How do I get existing calendar appointments into my ExelaOnline calendar?

You can export your old calendar and import it into your new ExelaOnline mailbox.

  • Enabling exelaonline email for an Android device

      Also make sure GMAIL app on your phone is Updated to latest version. You can confirm this by going to "Play Store" and Type in "GMAIL" and update it.

Q21. GENERAL EMAIL ENCRYPTION QUESTIONS


Q21.1. What is email encryption?

Email encryption is the process of protecting the content of email messages from being read by unintended recipients. Exela uses the Proofpoint platform, which in addition to scanning for spam and malicious elements such as viruses, is also able to provide end users with the ability to send secure encrypted email whenever necessary.

Q21.2. Why and when should I encrypt email?

Sensitive and restricted confidential company/client information (i.e. PII, PHI, Cardholder data such as social security numbers, birthdates, driver's license numbers, medical record numbers, treatment/diagnosis information, credit card information, bank account information, sensitive contract information, etc.) should only be sent via mail if required to support a business justified need or if authorized by a client agreement. Exela Technology's secure email system is intended to address the need for communicating sensitive or restricted confidential company/client information in a safe and secure manner and in compliance with regulatory requirements. You are required to use secure email whenever you are required to send a message that contains sensitive or confidential company/client information to an authorized recipient. Communication must be limited to the intended authorized recipient only.

Q21.3. What is PII?

PII stands for Personally Identifiable Information and is information that can be used on its own or with other information to identify, contact, or locate a single person, or to identify an individual in context. It includes name, SSN, date and place of birth, mother's maiden name, medical records, etc.

Q21.4. What is PHI?

PHI stands for Protected Health Information (PHI) and it is any information about health status, provision of health care, or payment for health care that can be linked to a specific individual. It includes diagnosis information, treatment information, medical test results, and prescription information, etc.

Q21.5. What is Cardholder Data?

Cardholder Data includes any personally identifiable information (PII) associated with a person who has a credit or debit card. Cardholder data includes the primary account number (PAN)/credit card number along with any of the following data types: cardholder name, expiration date or service code.

Q21.6. How do I encrypt messages?

To manually send an encrypted email using the secure email system, you can do one of the following:

   »   Use the "Send Securely" button within Outlook [once it is available]
   »   Add the word "[encrypt]" (without quotes) to the subject line of the email. Below are some examples of subject lines that will trigger the message to be
        sent encrypted:
        ›   [encrypt] Confidential Spreadsheet
        ›   Confidential Spreadsheet [encrypt]
        ›   Confidential [encrypt] Spreadsheet

** NOTE: Include the brackets around the word "encrypt", but do not include the quotation marks. The subject line of the email is not encrypted; therefore, you should not include sensitive information in subject line of the email.

Q21.7. How will secure mail recipients receive/read encrypted messages?

Recipients of a secure email from an Exelaonline email address will receive a notice in their email inbox that they have received a secure message from you. The message will contain an encrypted attachment or URL, which when opened, will take them to the secure email server. The first time the recipient receives a secure message, they will be asked to create an account/ password that will be used to view or reply to their secure messages. After logging in with their self-assigned password, the recipient can then view the email.

Q21.8. Can recipients reply to my messages securely?

Yes, recipients of your secure messages can reply securely by selecting the "Reply" or "Reply All" options in the received email. Their reply to your email will be automatically decrypted by the secure email system and will appear in your Exchange mailbox as a normal, readable email. The process is seamless and the only indication that the message was originally encrypted will be the "[encrypt]" in the subject line.

Q21.9. How long is a secure message available to the recipient?

Encrypted emails will be available to the recipient for 14 days from the date sent.

Q21.10. Is the subject line of the message encrypted?

The subject of the email is not encrypted; therefore, you should not include sensitive information in the subject line.

Q21.11. Can I send attachments?

   »  Yes, the total size of message including the attachment must not exceed 45MB.
   »  Attachments must not be encrypted or password protected before they are attached to the email or the entire message will be quarantined. Add the word
       "[encrypt]" to the subject line of the message or use the "Send Securely" button after the documents(s) are attached to encrypt the body of the message
       and any attachments.

Q21.12. What happens if I forget to encrypt a message that contains sensitive and restricted confidential company/client information?

The tool is configured to scan email messages for information that resembles PII, PHI, and Cardholder data/Credit Card numbers and automatically encrypt it. When this occurs, you will receive a notice that your email message was automatically encrypted.

Q21.13. What is considered "outside the network"?

Any account without an "@exelaonline.com" email address is considered outside the network. This includes @exelatech.com and anyone account that does not have an "@exelaonline.com" email address is considered outside the network. This includes exelatech.com.

Q21.14. Do I need to encrypt everything I send to clients/outside of the network?

No, you only need to encrypt email that contains sensitive or restricted confidential company/client information (i.e. personally identifiable information (PII), protected health information (PHI), cardholder data/credit card information, etc.).

Q22. GENERAL SPAM FILTER / QUARANTINE QUESTIONS


Q22.1. How often will I receive a notice that messages were sent to quarantine?

You will receive a daily message to indicate which incoming email messages were quarantined. You will also receive a notice if a message you were attempting to send was quarantined.

Q22.2. How do I release quarantined messages?

To release messages, select the "release" option in the SPAM email notification. You can also log into the spam/quarantine portal to release the quarantined email(s). The quarantine site is: (https://0031e902.pphosted.com:10020/euweb/login)

Q22.3. How do I delete quarantined messages?

Q22.4. Am I able to add Safe and Blocked senders to my personal safe and blocked senders list?

Yes. You will be able to add senders to your personal safe and blocked sender's lists in the spam/quarantine portal.

A message will remain in quarantine for 2 weeks (14 days). After 2 weeks the message will be automatically deleted.

Q23.1. Can I use my phone to send encrypted email messages?

Yes. To send encrypted email messages via phone simply type [encrypt] in the subject line of your message. Make sure to include the brackets.
